Membership
• Kings Hill Hockey Club (KHHC) will offer five (5) core membership packages;
o Adult
o Full Time Student
o Under 18
o Under 13
o Flexi Play
• Membership of KHHC shall be open to anyone interested in hockey on application regardless of sex, age, disability, ethnicity, nationality, sexual orientation, religion or other beliefs. New members must be referred to the Membership Coordinator, if they have not used the direct contact methods and have come via another officer.
• Limitation on membership may be made according to available facilities on a non-discriminatory basis.
• KHHC may have different classes of membership and/or subscriptions on a non-discriminatory and fair basis.
• KHHC will keep subscriptions at levels that will not pose a significant obstacle to people participating. If a potential obstacle is identified, this can be raised to the Membership Committee for consideration. This group includes the Membership Coordinator, Treasurer and Chair for appeals.
• As per the Club Constitution, we are a “not for profit” constituted Club. Any surplus made from membership is used to support membership packages and subsidise for the following season, used as a bursary to support “exceptional” circumstances for members, along with support the development of the Club.
• Membership Packages and their associated costs will be presented annually at the Club AGM. These will be for the upcoming season.
• Each membership package is made up of the following elements.
o Membership Fee
EH Affiliation (Team Entry)
Club Insurance and Public Liability
South East Hockey Affiliation (Team Registration)
Club Management Expenses (Pitchero, Accounting and Management Tools, Coaching App)
Player Registration to EH
Personal Player Insurance
o Match Fee
Pitch hire for games and training
Post match food
Umpire costs
• Your membership package covers all the season start and setup costs itemised under the membership fee, along with all hockey matches (Interclub, Friendlies, League and Cup Competitions), training (All sessions for Adults and/or Juniors) itemised under match fees. These are all associated with the hiring of the hockey pitch(es) and running either training or matches. Please note, only one game counts as part of your entitlement of games, for arranged fixtures. Doubling up or supporting other teams do not get deducted from your entitlement as you are supporting the club and its participation/development.
• All summer friendlies/ leagues/tournaments/training are not included in any membership package and will be self-financing.
• No refunds will be given for members not playing Fixtures provided and arranged by Kings Hill Hockey Club (Interclub, Friendlies, League and Cup Competitions ), except in exceptional circumstances (contact Membership Committee).
• ‘Special’ membership packages may be arranged for new members or returning members joining later in the season. New and returning members must be referred to the Membership Coordinator if they have not used the direct contact methods and have come via another officer.
• New members are entitled to 2 free training sessions and 2 free games before committing to a membership package.
• KHHC General Management Committee shall have the right to refuse or remove membership on grounds of conduct or character likely to bring the club or the sport of hockey into disrepute, only after it has been assessed via the Selection Committee.
• Appeal against refusal or removal may be made to the President, who shall appoint a panel of three current Vice Presidents to assess the appeal on an unbiased basis.
• KHHC General Management Committee will manage and maintain a list of any person(s) who have either been refused membership, have been expelled from the Club, or still have outstanding dues from previous season that remain unpaid. This will list their name, reason for refusal/expulsion/amount outstanding and the date this was added to the list. This list shall be referred to when any membership applications/requests are made to join KHHC.
Purchasing/Renewing & Payments
• Online payment is the preferred method of membership payment (either by GoCardless (Direct Debit) or Stripe (Recurring Card Transaction). If you need to pay by an alternative method, please contact the treasurer.
• Membership packages can be found in the club online shop, where you can select the appropriate package for the season.
• Memberships are available to purchase from the 1st August each season.
• You will be given the option of making a one-off annual payment, in 2 parts (start and mid-season) or over 10 months.
• Renewing members must sign up to a membership package before 1st October as per the Club constitution, or you will be deemed ineligible for selection.
• If you cannot find a package to suit your needs, and believe you have “special/exceptional” circumstances, please contact the Membership Committee who will discuss your needs with you. Exceptions and dispensations will be reviewed on a case-by-case basis, in line with the policy and procedure associated with exceptions. You will be required to submit a proforma as a formal request. The link to this online form is available in the membership information section on the club website. This collates the required information, on a safe and secure location that is only available to the Membership Committee.
• Once having selected a membership package and completed the checkout online, you are deemed to have entered into a payment agreement with Kings Hill Hockey Club.
o If selecting a Flexi Membership Package, it is on the understanding that once the maximum number of 14 games is reached you are not eligible to play any further games or be selected until an upgrade is purchased taking you to full adult membership. This must be raised with the Section Club Captain for awareness, and Membership Committee for review and decision, as per the process outlined for top ups.
o If selecting a flex membership package both yourself and the Club will be responsible for tracking the number of games played. This is available in both Pitchero or your GMS account.
o If an exception package is agreed, any assigned match fee must be paid before a further match can be played.
• If your circumstances change, please speak to Treasurer before making changes to, or cancelling any bank mandates or recurring card transactions.
Membership Commitment & Expectations
• Once you have committed to a Membership Package;
o You are expected to set your availablity for Training Sessions and Fixtures, at least one month in advance of the session/fixture, via Pitchero.
o Failure to set your availablity may result in you not being selected.
o By signing up to a Membership Package with Kings Hill Hockey Club, you agree to abide by the policies and procedures, issued by the Club.
o You are expected to have read and understood these policies and procedures and it is recommended these are reviewed annually by yourself. These can be found on the Club Website in the Information Section.
o Any change to policy or procedure will be issued in communications from the Club Management Committee, via Pitchero Messaging, Email and Articles, where appropriate.
o All members are expected to abide by the England Hockey Code of Ethics and Behaviour (Respect). Members are responsible for any spectators or guest they bring to the Club, who are expected to abide by the England Hockey Code of Ethics and Behaviour (Respect).
• Any member committing a misdemeanour on or off the hockey field or infringing KHHC rules, or those of any facility used by KHHC, shall be dealt with in accordance with the rules of both the club and facility, or those of the relevant Hockey Associations.
o All Yellow and Red Card will be reported to the KHHC General Management Committee. These will also be recorded on GMS.
o Four (4) yellow cards in a season, will result in a temporary ban, the length of which will be dictated by the Adult League Management Committee and the Discipline Committee of South East Hockey
o Red cards will result in an immediate ban being imposed by Kings Hill Hockey Club for all hockey activity connected with the Club. The matter will then be referred to the South East Discipline Committee for review and their outcome.
